How secure is your data?
We are “Cyber Essentials” certified. This helps us to guard against cyber threats and demonstrates our commitment to cyber security. All our data is captured in an “offline” environment where it is safe from hacking. Any data sent to clients is fully encrypted using internationally recognised encryption standards. Fletcher Data Services Ltd are registered with the Information Commissioner Office (number Z5680816).
Our office is protected by security cameras, entry locks and is alarmed with police response.
How do you capture the data?
Work is sent to us directly on paper, as images or by logging into a clients system. Datais entered onto our bespoke capture system or entered directly online at our offices. We also electronically collate data from the internet.
What is GDPR?
GDPR is a regulation binding all UK (and EU) businesses concerning data protection and privacy of citizens. It also addresses the transfer of personal data outside the EU and EEA areas. We adhere to all GDPR regulations.
What is involved in Returns handling?
This is the management of returned mail and items to a company. Put simply, when a customer has moved house and the new occupier has “returned to sender” we take receipt of the envelope. Unique information about that customer is keyed to ensure they are not mailed again. The envelope is then confidentially destroyed.
Do you send work offshore?
We have the capability to send work offshore. However, we predominantly capture data at our offices in Birmingham (which helps ensure compliance with legislation). The majority of UK data capture companies will scan your work and send to other countries
How long has your company being established?
Fletcher Data Services Ltd was formed in February 1995 as a result of a management buy-out of the Data Capture Division of Fletcher Computer Services Ltd, which has been trading since 1965. We have been using our data capture experience for well over 50 years and counting.
What type of companies use your services?
Any company who has any data capture or data keying requirements. This could be a marketing company who needs to key names and addresses from cards, or a library who need data keying from historical documents.
How long do you store data for?
We generally store data for four weeks before being confidentially destroyed. This means data is kept for no longer than is necessary for the purposes for which it is being processed but allows us sufficient time to revisit data to address any queries arising from capture.

Do you destroy data securely?
Yes. All hard copy documents not returned to client are shredded. Any electronic data is held securely for four weeks and wiped using industry recognised overwriting software rendering wiped data unrecoverable.
Are your staff security vetted?
All staff are security vetted and sign non-disclosure documents prior to commencing employment.
Why do I need to capture returned mail?
Capturing returned mail is good data practice. It keeps your information accurate and drastically reduces unnecessary expenses involved in mailing people who are no longer contactable.
